  • Overview

    The Admitting Specialist is responsible for scheduling, pre-registration, medical necessity and clerical support for the department.  

    Responsibilities

    • Maintains a professional and courteous manner and provides communication in a manner consistent with customer satisfaction and service excellence strategies.
    • Performs on various interdisciplinary system teams as appropriate.
    • Maintains competency as appropriate and pursues ongoing learning through attendance at departmental and system in-service, workshops and conferences/seminars. Actively participates in organizational learning opportunities as appropriate.
    • Provides services needed as described in the department’s policies and procedures, as well as in the competency checklist for the position and patient age groups served when appropriate.
    • Schedules and pre-registers patient appointments.  Makes modifications to established patient schedules and registrations. 
    • Maintains a working knowledge of personnel, schedules and specialties in their department to effectively and efficiently schedule.
    • Ensures completeness of scripts and confirms medical necessity, to include being fluent in Paragon and MPF use. Actively monitors deficiencies and routinely reports these to leadership.
    • Scans new scripts or 90 day treatment plans for the coder and manages retrieval of the latter, if required.
    • Performs cash collections.
    • Composes and sends welcome letters detailing needed information to proceed with evaluation and treatment prior to patient arrival, if required.
    • When needed, coordinates with and assists support staff in performing his or her duties

    • Demonstrates consistent compliance with Code of Conduct, Mission, Vision and Values.
    • Knowledgeable about the patient’s cultural, psychosocial, ethnic and religious needs and adjusts communication when appropriate based on this knowledge when interacting with patients.
    • Adheres to and is responsible for the safety standards of the hospital including the completion of the mandatory organizational safety standards on an annual basis.
    • Actively maintains confidentiality for patients and their families as outlined in the Patient Confidentiality Policy and shows the same level of respect for every colleague.

    Qualifications

    • High school diploma or GED.
    • At least six months of experience working within the registration process in a hospital or physician office setting.
    • Experience with in person or over the phone customer interactions.
    • Demonstrated experience communicating effectively with a customer and simplifying complex information.
    • Demonstrated ability to meet performance objectives.
    • Demonstrated ability to navigate Internet Explorer and Microsoft Office.

    Preferred Skills

    • 2+ years of experience with patient registration and scheduling within a healthcare setting.
