  • Overview

    The Patient Access Educator position is an extension of the management team, responsible for the training and education of all new hires and existing colleagues in Patient Access, including Financial Clearance Center and Pre-Registration/Scheduling. Ensures HIPAA standards are adhered to and followed in accordance to the Northwestern Medicine policy.  He/she ensures compliance with proper procedures in order to achieve productivity, quality, Point of Service departmental goals and Capture Rate initiatives.  This includes but is not limited to: EMTALA, billing compliance, Medicare Advanced Beneficiary Notification, Important Message from Medicare letter, demographics, location codes, payer knowledge and expertise.  Attends, facilitates and prepares material for in-services and continuing education sessions.  Educator takes personal responsibility to stay updated of current policies and procedures.  Provides exceptional service at all times to both associates and patients.


    • Understands and teaches the principles of Revenue Cycle to incumbent staff and all new hires.
    • Leads training/continuing education sessions which include all registration functions, POS, and all Patient Access Services technologies.
    • Mentors, coaches and educates all aspects of Revenue Cycle.
    • Tracks, documents and monitors/observes training of staff, provides feedback to PAS leadership team and provides data for staff evaluations. (Maintaining an Education Dashboard and keeping Outlook calendars up to date.)
    • Responsible for QA of registrars and reviewing trends with Supervisor on a monthly basis
    • Supports Leaders in developing training materials for all new hires, continuing education training materials. Distributes updates and communications regarding Revenue Cycle initiatives, payer changes and updates, process changes and requirements as assigned by Revenue Cycle leadership 
    • Conducts quarterly/annual and 1:1 education sessions as needed
    • Participates in data gathering as assigned by Director, Manager and Supervisors
    • Develops positive associate and patient relationships by anticipating and providing solutions to achieve optimal CHS satisfaction
    • Displays flexibility and can assist in staffing needs when necessary or assigned by PAS Management team
    • Maintains list of available payer resources and ensures all associates have access and training to use them
    • Provides exceptional service at all times to both associates and patients
    • Demonstrates professional demeanor and attire at all times
    • Takes personal responsibility to stay updated of current policies and procedures

    • Active position performs other duties as assigned


    • High school diploma or GED.
    • Minimum of two years’ experience working within the registration process in a hospital or physician office setting, including demonstrated success obtaining patient demographic and financial information
    • Knowledge of patient access services and the overall effect on the revenue cycle
    • Experience with Microsoft Office suite, internet-based application systems, and ability type 50+ WPM
    • Ability to handle, diffuse and resolve difficult situations, including customer complaints
    • Flexibility and resiliency to adapt to diverse patient dynamics
    • The ability to deal with pressure to meet deadlines, to be accurate, to handle constantly changing situations and to create a positive environment
    • Highly motivated and goal-oriented to meet performance requirements, including the ability to handle multiple tasks
    • Must have excellent customer service and communication skills

    Preferred Skills

    • Previous experience training others in a classroom and/or one-on-one setting
    • Previous experience participating in Continuous Improvement Processes and other Revenue Cycle initiatives.
